Terms and Conditions
General Terms and Conditions of the Annual Biocontrol Industry Meeting ABIM.
The Annual Biocontrol Industry Meeting is organised by the Research Institute of Organic Agriculture FiBL and the International Biocontrol Manufacturers Association (IBMA) ('the organisers'). All services provided in the context of the meeting will be subject to these General Terms and Conditions. By registering, you agree to these Terms and Conditions.
2) Concluding the agreement
Once you have registered for the meeting, you will have concluded the agreement and receive confirmation by e-mail.
a) Cancellation of attendance
Cancellations must be made in writing by the deadline date; telephone cancellations will not be accepted. Refunds or credits will not be given for failure to attend, late arrival, unattended events or early departure. Refunds will be processed 1-2 months after the meeting.
Where cancellation occurs more than 30 days prior to the start of the meeting, an administration fee of 20% of the registration fee will be charged. (22 September 2017)
Where cancellation occurs more than 14 days prior to the start of the meeting, an administration fee of 50% of the registration fee will be charged. (8 October 2017)
Where cancellation occurs later than this, the registration charges are payable in full. It is acceptable to send a replacement person to the meeting with appropriate written notification.
If you are unable to attend the meeting because you were denied a visa, you will be granted a refund only if you submit a copy of your visa rejection letter and proof that you applied for a visa no later than 31 August 2017.
Non-presenters are encouraged to apply for a visa as soon as possible, but also no later than two weeks after abstract notification letters are sent. If you meet these conditions, a refund will be issued less the cancellation fee above.
Please note that no refunds will be issued for additional fees paid for express shipping of invitation letters and/or Accompanying Person registration cancellation due to visa denial.
Without exception, all valid requests for refunds must be received in writing no later than 15 days after the end of the meeting.
b) Cancellation of stands and stand materials
Where cancellation occurs before or on 31 August 2017, an administration fee of 20% of the total for the stand will be charged.
Where cancellation occurs later, the charges for the stand are payable in full.
c) Cancellation of posters
Where cancellation occurs more than 30 days prior to the start of the meeting, an administration fee of 20% per poster will be charged. (22 September 2017)
Where cancellations occur more than 14 days prior to the start of the meeting, an administration fee of 50% per poster will be charged. (8 October 2017)
Where cancellation occurs later, the amount for the posters is payable in full.
4) Accompanying Persons
Accompanying persons are non-delegates, non-researchers, non-IBMA members who may be traveling with a meeting delegate and who have no scientific or other professional interest in the meeting. Meeting delegates students, technicians, colleagues, past IBMA members etc. do not qualify as accompanying persons and are required to pay the appropriate registration fee if they wish to attend. If your accompanying person wishes to hear your presentation, he or she must register and pay the CHF 100.- fee and receive a special visitor’s pass. This pass will admit an accompanying person to for one day of the meeting only and will not be honoured at any other time during the meeting. Anyone who wishes to attend more than one day of the meeting is considered to have more than a "personal" interest and will be required to pay the appropriate fee.
5) Refund policy
Refunds will be processed 1-2 months after the meeting. Refunds of CHF 30.- or less will be treated as a contribution and will not be refunded. Refunds due to overpayment or changes to an existing registration will be subject to a CHF 20.- processing fee. Express shipping fees for invitation letters are non-refundable.
6) Changes to the programme, place or timing of the meeting
Where there is good reason to do so, the organisers are entitled to change the place and/or timing of meetings. Attendees will then be permitted to withdraw.
Where there is good reason to do so, the meeting may be cancelled; any fees or charges that have already been paid will be refunded less an administration fee. No claims for compensation above and beyond this will be valid. Irrespective of this, the organiser may cancel the meeting up to 14 days before it starts without giving a reason. (8 October 2017).
In case of force majeure, for example war, unrest, natural disaster, fire, strike, lock-out, sabotage by third parties, official order etc., neither party may hold the other liable for any delay to or non-performance of the agreement which results from this force majeure.
The organisers reserve the right to make changes to the programme.
7) Prices and services
The prices quoted in the programme cover the services listed in that programme. No compensation will be made for any services not accepted in their entirety.
Regardless of the legal reason, the organisers are only liable for financial and material damage arising intentionally or from gross negligence. The organisers accept no liability for: accidents occurring during the meeting, or en route to or from the meeting venue; theft; or loss of or damage to any items.
9) Data protection
All personal data will be treated as confidential. All data necessary for administrative purposes will be stored in strict compliance with the relevant provisions. Where appropriate, relevant data will be passed on to associated and third companies tasked with processing reservations. You are entitled to withdraw your consent to the above paragraph at any time.
10) Applicable law and jurisdiction
The provisions of Swiss law shall apply exclusively to all relationships under the agreement. The place of jurisdiction for all claims relating to your order is Laufenburg, Switzerland. The organisers are also entitled to bring legal action under a different jurisdiction. Should any individual provisions be or become ineffective, this will not affect either the effectiveness of the rest of the agreement or these Terms and Conditions.
